Roles and Invitations in Evalea

Discover the different roles and functions of access rights.

Evalea offers different roles by default, which have specific access rights and functions:

Participant

This role includes access to the dashboard, the personal employee profile and its contents, assigned e-learning and training courses, and account settings (password, language). The training catalog and the Learning Journey are also accessible if activated.

 

Manager

The manager role, intended for managers or department heads, includes the same functions as the participant role, but also offers an employee overview and insight into the profiles of the assigned employees. The manager can also optionally be given access to selected reports.

 

Trainer

The trainer role is based on either the participant or manager role and extends this to include the authorization to create e-learning courses. The trainer can also be registered as an author.

 

HR / Admin

The HR or admin role has unrestricted access to all booked modules, reports, employee data and system settings and serves as an administrative instance.

 

Role Assignment and Invitation

  1. To assign a role to an employee, open the “Employees” section in the main menu, select the employee’s profile and scroll down to the “System Access” section.
  2. You can use the “Add” icon to open the role invitation and select the desired role.
  3. Click “Invite” to send an email with the login details (including a randomly generated password). 

 

 

Notice

If you do not want an email with access data to be sent, e.g. when using SSO, uncheck the box “Send login information by email”. 

It is important that the employee's email address is stored in the profile in order to send an invitation.

 

 

After the invitation, the access information appears in the employee profile. There you can:

1. Delete the access completely to send a new invitation,
2. Change the role without sending a new invitation,
3. Send a password recovery email to the employee.
