Data Imports

The data import in Evalea allows you to efficiently transfer existing data into the system. Various data formats and processes are supported, such as contacts, training histories, e-learning and competency profiles. The Personio interface also offers direct integration.
 


Accessing the Data Imports

  1. Navigate to "Settings": Click on the "Settings" tab in the main menu.
  2. File Import: Select the option to import data into Evalea .
     


Supported Data Types

  • Existing contacts: Import employee profiles and relevant data. Create contact and training history import
  • Training history : Transfer of previous training participations. Create contact and training history import
  • E-learning import : Import completed or ongoing e-learning histories.
  • Personio interface : Synchronization of master data directly from Personio.
  • Competency Import : Import competencies into your competency catalog.
  • Competency profile import : Importing competency profiles. The competencies must be added manually in Evalea .
     


Import Process

1. General information:

  • File format : Use the Excel template provided.
  • Column arrangement : The arrangement and naming of the columns in the template must be followed exactly. If there are any deviations, Evalea will provide information about errors.
  • Status information : E-learnings must be imported with the status values “finished” or “ongoing”.


E-Learning Import

  • Step 1: Create the e-learning in Evalea .
  • Step 2: Download the sample file and fill it out.
  • Step 3: Import the file into Evalea using the upload function.
    • The ID of the e-learning (visible in the browser line) is required.
    • The import process is divided into three steps: select the file, upload the data and check it through Evalea , and read the data.


Competence Import

  • Import competencies with a sample file, editing existing competencies is also possible.
  • If language options are enabled, names and descriptions can be imported in multiple languages.
  • Changes made during the import are not documented in the competency profile history.


Competency Profile Import

  • Import competency profiles with the following information:
    • Competence Profile ID: ID of an existing profile (can be left empty).
    • Name & Description: Name and description of the profile (per language, if active).
    • Existing profiles can be updated or new ones created.
    • Data fields created with DataFields can also be exported and edited.
       


Personio Interface

The direct integration with Personio enables the synchronization of master data such as employee information and profile pictures.
Furnishings:

  • Generate API credentials in Personio: In Personio, go to “Settings -> API” and create new credentials.
  • Define data access: Define in Personio which data should be transferred.
  • Enter access data in Evalea : Enter the Client ID and Client Secret from Personio in Evalea .
  • Select synchronization rhythm: Decide in Evalea whether the synchronization should be manual or automatic.
  • Import profile pictures: Optionally activate the import of profile pictures. For this, the attribute must be released in Personio.

 

  • Assigning data fields: Assign fields from Personio to the visible data fields in Evalea .

 


Automation:

  • Contact import rules: Use this feature to enable automations within the Personio interface.

Notice:

Always pay attention to the import requirements and use the sample file to avoid errors.

  • LEER → Company standard

Upload Notifications

After each upload you will receive a notification containing the following information:

  1. Time of upload.
  2. Detailed entries: By clicking on the blue “i” symbol you can see further details about the import.
