Email Options

Overview

With the email options you can create and edit templates for emails that are used module-specifically within Evalea .

 

Structure of the Email Options

 

  1. Delivery settings: Specify whether Evalea standard or an individual SMTP mailbox is used.
  2. Module overview: Shows all sendable message types per module.
  3. Editing message types: Allows you to edit existing templates.
  4. Editing email message impulses: Customize the templates used for email impulses.
  5. Editing Outlook Impulse templates: Customize the templates used for Outlook Impulses. 

 

Notice

Below the configurable templates you will find system-side standard messages that cannot be edited. A preview of these messages can be displayed using the magnifying glass symbol.

 

 

Dispatch Settings

Evalea offers two dispatch alternatives:

  1. Evalea Standard SMTP
  2. Individual mailbox

1) Evalea Standard SMTP

Messages are sent via the Evalea mailbox info@evalea.app .

  • Features:
  • Setting options: 
  • Activate Evalea Standard: Yes/No. 
  • Display name: Name that appears in the recipient's email program. 
  • Reply address: Emails will be sent to the address entered here. If this address is missing, emails will be sent to info@evalea.app
  • Test message: Check the settings by sending a test message.

2) Individual mailbox

A separate SMTP mailbox is used for sending. This mailbox can be managed by you.

  • Features:
  • Setting options: 
  • Enable individual mailbox: Yes/No. 
  • SMTP host: Server address. 
  • Port: Port number of the SMTP server. 
  • Username: For authentication on the server. 
  • Password: Authentication password. 
  • Display name: Name that appears in the email program. 
  • Shipping address: Address that appears as the sender. 
  • Encryption & Authentication: Selection of security standards.
  • Test message: Check the settings by sending a test message.



Editing and Creating Templates

  1. Select template: Select the template using the gear icon.
  2. Message title: The title should allow for clear assignment (visible only to HR).
  3. Edit subject: Custom email subject.
  4. Formatting options: font, size, color and style.
  5. Use tags: Personalize the message with data from Evalea (e.g. name of the recipient, training date).

Available Tags

  • Training details: name, date, location, times.
  • Recipient details: Salutation, first name, last name, email.
  • Manager details: Name and title of the manager.
  • Trainer details: Full name.
  • Evaluation: Survey link.
  • General information: learning objective, participant status link. 

     

Notice

  • Templates can only be used within the specific message type (e.g. reaction phase, email impulse, surveys, etc.)
  • Editing an email template has no impact on training courses that have already been created. The email template must be adjusted manually within the training courses.
  • “(Default message)” marks the message template that will be used unless the template is adjusted within a pulse.
  • You can create as many message impulses as you want per type and decide within the impulses which template you want to use.
