Function: Data fields make it possible to individually adapt and manage information within employee profiles, training courses, e-learning, training types and competency profiles. These can be freely designed and adapted.

Overview of Data Fields

- Show/Hide: Click the eye icon to make a data field visible or invisible.
- Field type: Shows whether this is a standard Evalea data field or a self-created data field.
- Field name: Name of the data field for identification.
- Field type: Open text field, text area, formatted text, date, number, decimal, calculated, separator, check box, closed field (single choice), or multiple choice.
- Options: Data fields can be edited or deleted. Closed and multiple-choice fields allow customization of content and names. Role-based access rights can also be defined.
- Arrangement: The order of the data fields can be changed by drag and drop.
- System-relevant fields: grayed out options are essential for the functionality of Evalea and cannot be changed.
Creating a Data Field
Example: Creating a new data field in the employee profile

1. Select area:
- Navigate to "Participants" and click on the "+" symbol.
2. Fill out the pop-up:
- Name of the data field: "Example data field".
- Type: Text.
- Languages: Define language versions for the field.
- Save the data field.
3. Use in the employee profile:
- The new data field is now available in the corresponding profile.

Settings for Data Fields
Defining access rights:
1.Training:

- Determine which data fields are visible or editable based on roles.
- Set up access to training details and employee profiles.
2. Employee profiles:
- Different access rights for internal and external employees.
- Data fields such as “Internal/External” can be displayed by activating the eye symbol.

Value function:
- Values in closed data fields enable a unique assignment in the database.

Special Features
- Changes to data fields take effect immediately.
- System-relevant fields cannot be changed or deleted.
- Customizations for specific roles offer flexible control options for access and editing.
