Evalea offers the possibility to use rules to automatically execute various assignments and actions during a file import. This makes it easier to enter, update and edit contact data.
Accessing the Contact Import Rules

- Navigate to Settings → File Import → your master data import.
- If no master data import is stored, look here: File imports
- You will then find an overview of the rules that you can create, edit and apply.

Rule Overview
The rule overview offers the following functions:

- Add new rules: Click the “+” icon to create a new rule.
- Execute rules manually: The play symbol allows the rule to be applied immediately to all relevant employees.
- Edit rules: Edit existing rules using the gear icon.
- Delete rules: Delete the rules using the trash can icon.
- Drag and drop: Change the order of the rules by clicking the “=” symbol and moving the rule.
Notice
The order of the rules can affect your desired effect. The rules are executed in the order from top to bottom each time data is imported.
Creating a New Rule
After clicking on the “+” symbol, a pop-up opens where you can choose from the following rule types:

- Add mandatory training: Automatically assign training obligations ( training obligations ).
- Set status to inactive: Automatic status change of an employee.
- Assign competency profiles: Assign individual or multiple competency profiles.
- Add to Groups: Automatically add to groups ( Groups ).
- Delete contact details: Delete existing contact details.
- Set value for selected field: Override a specific field value.
- Mark additional option for closed field.
- Override manager assignment: Automatically change the manager assignment.
- Create users: Create new user accounts or overwrite existing accounts.
- Remove leading zeros from personnel number.
- Remove Mandatory Training: Removes assigned training requirements.
- Add to e-learnings: Automatically add to e-learnings ( Introduction to the E-Learning module ).
- Skip contact: Employees who meet a certain field value are excluded from the import.
Selecting a Rule Condition

- Decide whether the rule should be applied to all employee profiles or only to certain employees.

- Define a data field within the employee profiles
- Define the value that determines which employees should be affected by the rule
- Select this option if you want to affect employees whose selected data field is empty.
Executing Rules Manually
Rules can also be applied manually, independent of a new import.

- Click the rule's play icon.
- Confirm the security question.

Notice
The rule will be applied to all applicable employees, including inactive profiles and profiles that were not imported through the file import in question.
